Reporting to the Assistant Registrar (AR), Admissions, the position of Manager, Applicant Services, is responsible for the direction and management of operational workload and staff leadership and development. Inherent in all duties and actions, this role is accountable for creating and maintaining a work environment conducive to the optimal contribution of all staff towards the achievement of the RO Strategic Plan goals and objectives, which in turn supports the institutional strategic plan, “For the Public Good”.

The Manager, Applicant Services, manages, evaluates, and directs the operational aspects of the Admission unit which is the area responsible for admission to undergraduate programs at the University of Alberta. They are responsible for developing, implementing, maintaining and evaluating business processes and systems related to the evaluation of the over 30,000 applications annually.  In collaboration with the Assistant Registrar they set priorities for the admission unit based on institutional objectives, the analysis of data, and historical trends. The incumbent will evaluate and advise on the need for process improvements including those related to training, quality assurance and application workflow. The Manager, Applicant Services is a key member of the Admissions unit management team, often representing Undergraduate Admissions and/or the Assistant Registrar, Admissions in collaborative efforts with faculties, business units and staff across the institution.

The Manager, Applicant Services, supervises a team of approximately 15 admissions employees made up of Specialists, Admissions (Research & Curricula), Specialist, Admissions (Evaluations) and Generalist Advisors. The position works closely with the other Manager, Applicant Services and other admissions positions to ensure the accurate and timely delivery of admission services. This position leads the hiring, training, and managing of the admission staff in addition to identifying and implementing opportunities for staff development for the unit.


  • Oversees and provides mentorship, guidance for their group of admissions staff including the development of ongoing performance and development plans
  • Directs workflow priorities and collaborates with Assistant Registrar, Admissions and Assistant Registrar, Enrolment Management and Reporting to advise on and make decisions to support institutional enrolment management objectives
  • Responsible for staff performance management; mediates issues and/or conflicts within the team or between staff and is the main point of escalation for most staffing issues.  
  • Collaborates with Assistant Registrar, Admissions to support and lead continuous improvement practices for the unit, ensuring a high level of student service and efficiency
  • Investigates and develops solutions for in-cycle admissions issues identified internally by other stakeholders (faculties, programs, units, etc.)
  • Develops best practices for Admissions process by ensuring familiarity with the post-secondary admissions landscape and overarching trends, including maintaining active participation in relevant organizations and committees e.g. AACRAO, ARUCC
  • Leads priority setting for file processing of a diverse applicant pool in response to broader recruitment and/or diversification strategies, as well as external emergencies or event ramifications
  • Leads the development of Quality Assurance processes within the unit to support overarching unit and institutional goals.
  • Identifies and provides recommendations on policy issues impacting admissions process
  • Leads the identification and development of operational metrics to support decision making and continuous improvement at the staff and unit level
  • Resolves specific applicant level issues identified by faculties, advisors or other internal/external stakeholders
  • Maintains relationship with other units  for the purpose of supporting superior applicant service - including alignment of strategic priorities, operational support through efficient flow of work between the 2 units


  • Undergraduate degree in a related discipline
  • 5 years of experience in post-secondary admissions at either a faculty or institutional level
  • 3 to 5 years supervisory experience (staff management); experience supervising in a unionized environment is an asset
  • Familiarity with Campus Solutions/PeopleSoft or other Student Information Systems an asset
  • Experience with process improvement and quality assurance approaches
  • Change management experience
  • Strong commitment to service
  • Strong analytical and problem-solving skills, including data analysis for decision support
  • Experience and skills working with diverse stakeholders (internal and external)
  • Knowledge of University of Alberta policies is an asset

In accordance with the Administrative Professional Officer agreement, this position offers a comprehensive benefits package found at: and annual salary range of $61,802 to $103,002.
