The Director, Postgraduate Medical Education (PGME) Administration, reporting jointly to the Associate Dean of PGME and the Chief Operating Officer, Faculty of Medicine and Dentistry (FoMD), is accountable for the effective management of the administrative support systems and processes of the Department. The Director, in collaboration and/or consultation with the Associate Dean, participates in the strategic planning and decision making for all administrative functions and ensures their successful implementation and operation to support the PGME objectives.

The Office of Postgraduate Medical Education supports 55 residency training programs within the University of Alberta. The Director will be tasked to operationalize the new requirements across FoMD, increase department collaboration and support strategic expansion to new sites. This position will take on the overall program administrative leadership and management for education, financial reporting, budgeting, and supervision of staff.

Specific accountabilities of the Director include:

PGME Financial Management:

  • Ensures processes in place to manage departmental  accounts, and ensure compliance with University, AHS and granting agency guidelines for the appropriate use of funds
  • Works closely with Director, Budget & Financial Reporting in the Dean’s office in managing PGME funding and financial processes
  • Develops and monitors PGME office operating and capital budgets in consultation with the Associate Dean, PGME, and Faculty Office to ensure that short and long-term goals are met

Human Resources Management:

  • Manages all Human Resources functions for academics, non-academic and temporary staff and includes leading and managing the day-to-day operations of the administrative unit within PGME

Strategic Planning and Academic Program Administration:

  • Coordinates all aspects of planning for the PGME Office, including annual planning, long range strategic planning, and academic program administration planning
  • Leads and stewards the development of best practices in administrative standard operating procedures, policies and metrics for PGME office and programs

Communications and  Facilities Coordination:

  • Acts as a resource to all staff through the provision of advice and information on University, hospital, faculty and PGME policy and procedures
  • Oversees departmental communications, activities and events
  • Manages PGME processes for physical spaces, equipment allocation; manages needs assessment and space planning as requested

Information Technology Management:

  • Manages the IT processes in collaboration with Med IT and the Faculty IMS Governance Framework
  • Monitors current and upcoming technology to ensure it fits with PGME needs
  • Works with MEDIT to ensure compliance with security and technical requirements

To be successful in this position, the incumbent will have the following knowledge, skills and abilities:

  • Degree in business or related field
  • 3-5 years related experience preferred
  • Experience in administration in a large unionized organization
  • Experience in Medical Education is a strong asset
  • Experience in financial management, analysis and reporting
  • Supervisory experience
  • Excellent communication (written and verbal), interpersonal and organizational skills
  • Ability to interact and/or provide advice and support to all levels within the organization
  • Strong facilitation, negotiation and problem solving skills

In accordance with the Administrative and Professional Officer Agreement, this full time continuing position offers a comprehensive benefits package found at: www.hrs.ualberta.ca and annual salary range of $63,392 to $105,648.
