The Department of Civil and Environmental Engineering is searching for a Department Administrator (DA) who is passionate about administrative leadership and wants to contribute to empowering the next generation of engineers.

Reporting to the Department Chair in collaboration with the Office of the Dean, the DA is responsible for determining courses of action, coordinating activities and resources, leading and motivating support staff, and monitoring and evaluating activities. Specific areas of responsibility include budget planning, financial analysis and reporting, developing and implementing operational processes, establishing policies and procedures, and liaising with all centralized faculty units including Finance, Human Resources services, Information Technology Services, Student Services, etc. The DA is expected to cultivate a culture of service, excellence, and accountability across the department operational team.  

The incumbent will be expected to coordinate an operational support team that anticipates the needs of the Chair and other department stakeholders and seeks to meet them in a positive, cooperative, and collaborative manner.  This position is ultimately responsible for ensuring continuity in the Department, especially during times of Chair and staff transition. The DA plays a critical role ensuring the Chair receives timely and accurate information on current and emerging issues, and also exercises a significant degree of decision-making, analytical and problem solving on behalf of the Chair.


  • Provides all day to day management, guidance, and leadership on operational issues and administrative policies to staff and users as the primary point of contact
  • Responsible for all aspects of employee recruitment, training, supervision, coaching and performance appraisal
  • Engages staff and fosters a collaborative approach based on trust, open communication and opportunity
  • Determines core administrative responsibilities/priorities of the administrative team and triages work
  • Establishes, develops, and maintains strong and effective relationships and partnerships with department and faculty staff, and client groups
  • Works with the department’s executive team to design and execute the department’s vision, strategic plan, and goals; aligns the department’s human resource strategy with department strategy
  • Provides recommendations on strategic financial plans and budgeting to the Chair; manages the department’s overall budget, provides forecasts, financial reports and monthly accounts
  • Provides guidance and counsel to department members based on good judgment, experience, and understanding of University of Alberta policies, procedures and processes
  • In collaboration with the Faculty of Engineering Marketing and Communications unit, oversees creation, design and maintenance of the department website
  • Ensures that support is in place for department accreditation, program, and other reviews
  • Coordinates or assists with special projects


  • Minimum postsecondary education in a relevant field; undergraduate degree preferred
  • Minimum 3 years of experience in full supervision of staff, preferably in a unionized environment
  • 5 or more years of relevant work experience in an office environment, preferably at a university or other academic institution and a proven record of progressive administrative responsibility
  • Proficiency with MS Office applications and enterprise level administrative systems (e.g. PeopleSoft)
  • Experience in budget coordination, financial reporting, and project management
  • Excellent communication (verbal and written), problem solving and relationship building skills
  • Ability to prioritize and work independently
