The Faculty of Agricultural, Life and Environmental Sciences invites applications for the position of Financial Administrator.  The successful candidate will be responsible for providing financial support to researchers/administrators for Trust and/or Operating funds.  Working collaboratively with management and other members within the Finance Team, the Financial Administrator is responsible for performing a broad range of duties supporting day-to-day financial administration. The successful candidate must have an in-depth knowledge of accounting and University policies and procedures and is able to review and interpret policies and apply these policies and procedures in the administration of research/operating awards, grants and service agreements. 


  • Monitor the departments’ operating/trust accounts to ensure optimal and appropriate use
  • Verify that all paperwork produced or received is processed correctly in compliance with University policies, including proper authorization
  • Responsible for monthly reconciling; maintains, files, and tracks missing or inappropriate backup source documentation
  • Investigate and resolve discrepancies between account transactions and account balances
  • Prepare and enter Accounts Payable Journal Vouchers/General Ledger Journal Entry Interface
  • Request transfer of funds between accounts as requested/required
  • Prepare on-line salary and benefits adjustments, as well as Travel and Expense adjusting entries
  • Manage ongoing maintenance of operating/trust accounts including monitoring of end dates and advising Principle Investigators to request account extensions etc.
  • Analyze over-expended accounts and determines action to resolve issues
  • Review Travel and Expense Re-imbursement and Cash Advances for compliance and accuracy
  • Review monthly corporate card statements
  • Prepare purchase/service orders, and Contract for Services through the use of SupplyNet, checking that all requirements have been met in accordance with U of A policy and procedures
  • Prepare internal and external billing and follow-up on any aged accounts
  • Receipt and deposit all cheques and monies received
  • Assist in the compilation of financial information required for audit and various reporting purposes for affiliated projects and department initiatives
  • Act as resource to the departments with respect to any queries on financial management policies and processes including but not limited to: UAPPOL, Financial Service processes, SMS processes, audit documentation requirements, GST regulations, SupplyNet, and Generally Accepted Accounting Principles (GAAP)
  • Track and maintain Delegation of Signing Authority on all trust/operating accounts, ensure proper documentation and signatures are on file and kept up to date
  • Performs other related duties as required


  • Bachelor’s degree in a related field (Business/Accounting) preferred; minimum High School Diploma supplemented with related coursework; equivalent combinations of education and experience will be considered
  • Minimum 2 years of progressively responsible experience working in a financial environment, and familiarity with audit procedures, both internally and externally
  • Computer proficiency using MS Office applications (Excel intermediate); familiarity with PeopleSoft Finance and database software preferred
  • Comprehensive knowledge of reconciliation processes combined with strong analytical skills and the ability to generate timely, accurate and professional reports
  • Excellent communication (verbal and written), interpersonal, organizational and time management skills with proven accuracy and a high level of attention to detail
  • Strong problem solving skills and the ability to function collaboratively in a team environment is essential
  • Familiarity with University of Alberta’s policies and procedures is an asset
