Reporting to the Director, Academic Success Centre, the Program Assistant is responsible for a variety of administrative activities and the provision of program support for: the Academic Success Centre’s Director; the Fresh Start Program; Accessibility Resources; Communication Resources; Learning Resources; Writing Resources; and, accessibility, communication, learning, and writing strategists/advisors and services. The Program Assistant assists with the development and preparation of instructional and program materials; develops and maintains registrations systems, annual tracking of programs/services, workshop schedules, and other ongoing and annual documentation and reporting; liaises with various campus and community groups; supports Academic Success Centre participation in various educational and informational events, as well as customized instruction; coordinates Academic Success Centre contests and evaluations; contributes to the Academic Success Centre annual promotional activities; and, manages student communication for various Academic Success Centre services. This position provides back up support for the Academic Success Centre main reception, as required.


  • Develops and maintains efficient processes for program registrations, communications, and annual reporting
  • Acts as a resource and data entry person for eClass, Sitecore, Baseline CampusLabs survey system, OpenCart database, Google applications, and other administrative systems and databases
  • Employing online survey system, assists with the preparation, submission, review, and reporting of service evaluations
  • Develops and maintains Academic Success Centre OpenCart payment system logistics and entries
  • Assists with online curricula and resources (e.g., eClass, Sitecore), including pilot-testing; management of student registrations, communications, and evaluations; and, database and program updates and reporting
  • Assists with the development and preparation of materials for Academic Success Centre services
  • Liaises with students enrolled in Academic Success Centre services and programs, and with campus and community groups with which the Academic Success Centre collaborates
  • In coordination with the Office of the Dean of Students’ communications team and the Academic Success Centre Director, develops, coordinates, and distributes promotional information and materials about Academic Success Centre services and educational/promotional events, including: posters, workshop schedules, campus televised advertisements, email listserve notices, and social media
  • Assists with front office reception duties (as required) in a high volume, student-focused environment
  • Communicates effectively and professionally with students, University staff, and community members in person, by phone, and by email regarding Academic Success Centre services
  • Other duties as required


  • Post-secondary degree or diploma in a related field required, minimum 2 years’ experience working in a post-secondary administrative and/or student services setting preferred; equivalent combinations of education and experience will be considered
  • Strong verbal, written, and interpersonal communication skills
  • Strong analytical and organizational skills, including problem assessment and process mapping skills with attention to details and deadlines
  • Interest in assisting students and ability to manage high volume student interactions
  • Knowledge of University of Alberta policies, processes, faculties, and services, including the Code of Student of Behaviour, HIAR, FOIP, and the Office of the Dean of Students
  • Ability to work independently and as part of a collaborative team
  • Ability to interact knowledgeably, comfortably, positively, and respectfully with diverse individuals with a broad range of credentials, abilities, and literacy/language levels
  • Computer proficiency in data processing, electronic records, databases, communication, and online learning management systems; intermediate or higher skills with Microsoft Suite, Word, Excel, Google applications, and eClass/Moodle preferred
